We process personal data on the following bases:

4. Data Retention
Contact enquiry data is retained for 24 months from the date of the enquiry, or for the duration of an active engagement plus 36 months where an engagement follows.
Website analytics data is retained for 14 months, after which it is aggregated or deleted.

We do not sell, rent, or share personal data with third parties for marketing purposes. Personal data may be disclosed to:
- Authorised personnel within Pylon Index involved in delivering the engagement or responding to the enquiry.
- Cloud storage and communication service providers operating under data processing agreements.

Client operational data shared for analytical purposes is handled under separate written data transfer protocols and is not used or retained beyond the scope of the engagement.

We apply reasonable technical and organisational measures to protect personal data against unauthorised access, alteration, disclosure, or destruction. These include access controls, encrypted file transfer for engagement data, and regular review of data handling practices.
Where a data breach occurs that creates a risk of harm, we will notify affected individuals and, where required, the Office of the Privacy Commissioner for Personal Data (PCPD) in Hong Kong.
